PodCensus privacy policy
This policy explains how PodCensus collects, holds, uses and discloses personal information through podcensus.com, the waitlist and related communications.
PodCensus is a product operated by AI2Easy Pty Ltd (ABN 84 679 007 839), trading as AI2Easy (“PodCensus”, “we”, “us” or “our”).
We intend to handle personal information consistently with the Australian Privacy Principles, whether or not every provision of the Privacy Act 1988 applies to us in a particular circumstance.
1. Information we collect
Information you provide
When you join the waitlist or contact us, we may collect:
- full name
- work email address
- company or organisation
- role or job title
- what you are looking for from PodCensus
- audience segment, country or region, and industry
- messages, support requests, corrections and other correspondence
- any other information you choose to provide
Please do not include sensitive personal information in free-text fields unless we specifically ask for it and explain why it is needed.
Website and technical information
When you visit the website, our hosting and security providers may process technical information such as:
- IP address and approximate location
- browser, device and operating-system information
- referral source and pages viewed
- timestamps, performance information and security events
We do not currently include first-party analytics or session-recording code on the pre-launch website.
Podcast and professional contact data
The future PodCensus service may contain professional or business contact information obtained from public sources. The handling of that information requires a separate operational review and, if applicable, an updated collection notice and policy before the full index launches.
2. How we collect information
We collect personal information:
- directly from you through forms, email or other communications
- automatically through website infrastructure
- from public professional or business sources where relevant to the future service
- from service providers acting on our behalf
3. Why we collect and use it
We may use personal information to:
- manage the PodCensus waitlist
- send the short launch email sequence you requested
- understand who is interested in the product and prioritise launch features
- answer enquiries and process corrections or coverage requests
- operate, secure, troubleshoot and improve the website and service
- maintain business and compliance records
- prevent misuse, fraud or security incidents
- comply with legal obligations and resolve disputes
We will not add waitlist members to unrelated or ongoing marketing campaigns without appropriate consent.
4. Marketing communications
Joining the waitlist means you agree to receive a short PodCensus launch sequence comprising a small number of emails about launch timing, first access, product availability and the founder-rate offer. Commercial emails will identify the sender, include contact details and provide a functional unsubscribe option where required.
You may withdraw consent at any time by using the unsubscribe option or contacting helpdesk@ai2easy.com.au. We will action unsubscribe requests within the period required by law.
5. Disclosure to service providers
We may disclose personal information to providers that help us operate PodCensus, such as:
- website hosting, content delivery and security providers, including Cloudflare
- application hosting providers, currently including Render
- backend and database providers
- email delivery and waitlist communication providers
- professional advisers, insurers and authorities where reasonably necessary or required by law
Providers may only use information for the services they supply to us, subject to their contracts and applicable law.
6. Overseas processing and disclosure
We aim to store waitlist records in Australia. Website delivery and submission-handling providers, including Cloudflare and Render, may process technical or form information in overseas regions. Provider network and subprocessor locations may change.
Where required, we will take reasonable steps in relation to overseas disclosures and update this policy as our provider arrangements change.
7. Storage, security and retention
We use reasonable administrative, technical and organisational safeguards designed to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. No online system is completely secure.
We retain personal information only for as long as reasonably needed for the relevant purpose, legal requirements and legitimate record keeping.
- incomplete waitlist forms: six months
- completed waitlist records: six months
- support and correction requests: six months
- security and analytics logs: six months
- backups: six months
When information is no longer required, we take reasonable steps to delete or de-identify it, subject to legal and technical requirements.
8. Access and correction
You may ask to access personal information we hold about you or request a correction by contacting helpdesk@ai2easy.com.au. We may need to verify your identity. If we cannot complete a request, we will explain why where required or appropriate.
9. Privacy complaints
If you believe we have mishandled your personal information, contact helpdesk@ai2easy.com.au with enough detail for us to investigate.
We aim to acknowledge a complaint within 7 business days and provide an outcome within 30 days where practicable.
